ARTIQ is a fast-growing, market leading art consultancy based in London and is recruiting a new Operations Lead to join its awesome team! 

ARTIQ represents and works with some of the best artists around, giving its clients unrivalled access to unique and inspiring collections. Artists get paid fairly and clients get beautiful, relevant art collections. 

Summary of the Role:

To oversee the execution of all project logistics with accuracy, efficiency, and effortless stakeholder engagement. To effectively lead the project teams of Project Coordinators, Art Handling Technicians, and freelance support.

Purpose of the Role:

1. To oversee the delivery of all projects on time and budget.
2. To maintain high-level and smooth client and supplier relationships by regular and open communication with all connected parties.
3. To innovate, implement and deliver sound business processes and systems.
4. To effectively manage the Project Coordinator and Art Handling Technician team.
5. To be the main point of contact for all ARTIQ suppliers and freelancers.
6. To work closely with the Managers and Board, delivering on internal and external strategy and communications.

Specific Responsibilities:

1. To oversee the delivery of all projects on time and budget.
a. Help Consultants in job quoting and planning.
b. Process Job Sheets with attention to detail and to flag with the Consultant any discrepancies and inaccuracies.
c. Process Purchase Orders with accuracy, efficiency keeping to timescales and budget with maximum profitability for the Company.
d. Process, log and maintain Purchase Orders and Invoices database.
e. Project manage bespoke jobs, including but not limited to custom frame orders, reframing and bespoke fabrication jobs.
f. Manage installation diary for projects, including booking and briefing technicians and organising transportation.
g. Follow up with the Consultant and key stakeholders’ post-installation.

2. To maintain high-level and smooth client and supplier relationships by regular and open communication with all connected parties.
a. Manage lead times for clients and suppliers, including but not limited to delivery and installation procedures for projects.
b. Work with Project Coordinators to balance procurement and installation diary and delivery of art.
c. Manage project logistics, including but not limited to completion of risk assessments, and method statements.
d. Liaise with suppliers on project delivery and negotiate to find cost-savings and efficiencies wherever possible.
e. Oversee incoming/outgoing art in storage, ensuring it is logically and regularly documented. 

3. To innovate, implement and deliver sound business processes and systems. 
a. Track logistics performance and report weekly to the COO on your personal performance, aiming to exceed targets.
b. Manage and minimize overheads and find cost-savings wherever possible while delivery high-end collections and logistics.
c. Perform general administrative duties assisting the COO in strategic projects for the Company.
d. Constantly innovate and strive to find sources for new suppliers, including but not limited to, speaking with new suppliers the phone and in person; utilising social media; building strategic partnerships; press scanning; networking.
e. To work closely with the Managers and Board, delivering on internal and external strategy and communications.
f. Maintain the confidentiality and integrity about the Company at all times and ensure all confidential documents are securely stored.
g. Measure and report on key indicators of our environmental impact and work with the COO and internal teams to deliver on strategies to reduce it.
h. Work closely with the consultants, project delivery teams and relevant stakeholders to ensure any artwork not fit for purpose is donated to partner charitable organizations.

4. To effectively manage the Project Coordinator and Art Handling Technician team.
a. Keep employees motivated, overseeing Personal Development Plans, and ensuring your team is engaged and meeting targets.
b. Oversee new employee onboarding and set up in your team. 

5. To be the main point of contact for all ARTIQ suppliers and freelancers.
a. Promote and be an ambassador for the Company at all times by attending industry events (specifically in the spheres of suppliers, Workplace, Hospitality, Interior Design, and Architecture).
b. Organise events and communications to our freelance network, focusing on outreach and supporting these key stakeholders in their professional development. 

6. To work closely with the Managers and Board, delivering on internal and external strategy and communications.
a. Effectively manage your departmental budget.
b. Collaborate with the Managers on overseeing social budgets and engaging the team in communications and events throughout the year.
c. Work closely with the Managers and Board on delivering strategy projects.
d. Report to the Board on departmental budgets, targets and strategies.
e. Work closely with the COO on delivering departmental strategies and innovations
